Regulatory Operations Communications Manager

As a member of the retirement plan administration operations services team, manage the execution and distribution of standardized operational communications relative to mid-market, large market, and third-party administrator segments. Collaborate closely with Compliance, Customer Experience, Technology, Client Relationship Teams, and TPAs to ensure communications meet regulatory standards, align with client expectations, and are efficiently processed and delivered.
Responsibilities
- Manage end-to-end execution process for standardized sponsor and participant communications, and delivery via digital and print channels, ensuring accuracy, timeliness, and regulatory compliance.
- Partner with client relationship teams and third-party administrators to understand unique market requirements and ensure communication strategies align with client needs.
- Collaborate with the compliance team to ensure communications meet legal, regulatory, and policy requirements.
- Partner with the customer experience team for input and approval when communications require material changes, significant updates, or brand alignment and/or consistency of messaging.
- Work closely with technology teams to ensure the accurate extraction of data, integration into communication systems, and efficient execution of digital delivery processes.
- Recommend innovative solutions and best practices for communications.
- Execute internal processes to trigger print requests to external vendors, ensuring accurate and complete data is provided.
- Track communication processes, ensuring communications are successfully delivered, and manage exceptions (e.g., undelivered emails, inaccurate data).
- Identify and recommend process improvements to enhance operational efficiency, reduce manual intervention, and support automation efforts.
- Maintain accurate records of communication activities, timelines, and delivery metrics for internal tracking and audit purposes.
Qualifications
- Five years of relevant experience in operational communications, client communications, or process management in a regulated industry
- Understanding of regulatory compliance and industry requirements for client facing communications and required notice communications
- Strong attention to detail, organizational skills, and ability to manage multiple priorities
- Excellent communication and collaboration skills, with the ability to build relationships across multiple teams
Preferred Qualifications
- Bachelor’s degree in business, communications, organizational management or relevant field
- Background in the retirement plan services industry

Compensation
The salary for this position generally ranges between $80,000 - $100,000 annually/per hour. Please note that the salary range is a good faith estimate for this position and actual starting pay is determined by several factors including qualifications, experience, geography, work location designation (in-office, hybrid, remote) and operational needs. Salary may vary above and below the stated amounts, as permitted by applicable law.
Additionally, this position is typically eligible for an Annual Bonus based on the Company Bonus Plan/Individual Performance and is at the Company’s discretion.
