Management and Department Assistant - Group Legal & Group Compliance
Job Description
In this role you will provide high standard professional support to managers of Aegon Group Legal and Group Compliance and the Legal & Compliance teams by performing coordinating, facilitating and supportive activities to assist them in their day-to-day and execution of tasks. You will coordinate support of the teams with the Executive Assistant to Group Legal.
Key Responsibilities
- For two managers (Global Compliance and Global Privacy):
- Efficiently optimize managers’ time based on priorities. Manage, prioritize and coordinate calendars, set up meetings with internal and external parties, monitor planning and deadlines.
- Planning, preparing and coordinating meetings; draft agendas, collect/distribute documents, record minutes/actions if required and ensure appropriate follow up.
- Communication management; effectively reviewing and prioritizing incoming communication (correspondence, emails and calls) and follow up as required, maintaining an excellent standard of communication.
- Managing travel arrangements including booking tickets and accommodation through the company booking tool.
- Processing invoices, expenses, workorders and tickets in all relevant administrative systems (Ariba, Workday, ServiceNow, Ask etc.)
- Corporate housekeeping: preparing documentation, ensuring filings are made (e.g. Commercial Register), assisting in drafting legal and corporate documentation such as board and shareholders resolutions, legal entity database administration, etc.
- Assisting with the organization of Aegon Ltd.’s annual shareholders’ meeting.
- Organizing (team) events.
- In addition to the duties and responsibilities listed, you may be required to perform other duties assigned by your manager from time to time so long as such duties are within the scope of the role.
Profile
- A minimum of 3 years proven experience as management assistant in an international corporate setting.
- Highly proficient in Office 365.
- Experience with corporate housekeeping tasks.
- Strong planning and organizational skills.
- Ability to take initiative and make independent decisions.
- Proactive to anticipate department needs and prioritize own workload.
- Collaborative and invests time in building relationships with stakeholders.
- Drive calendars with a deep understanding of the context and relative priority.
- Eye for detail and culturally sensitive.
- Highest level of discretion, ability to deal with sensitive, complex and highly confidential information.
- Positive can-do attitude, adaptable and self-motivated.
- Strong interpersonal skills, able to deal with all level internal and external stakeholders, team spirit.
- Fluent in English (written and oral), fluency in Dutch is not required but can be considered an advantage.
- Familiarity with software and tools such as Diligent Entities/Blueprint OneWorld, Ariba, SailPoint, ServiceNow, Workday, Diligent Boards, Copilot is a plus.
- Good sense of humor

- Compensation levels depend upon an applicant’s qualifications and will be determined by hiring supervisors/managers and HR.
